Permit to Work has historically always been paper-based systems with multiple forms for each task that needs to be performed. However, in the age of digitisation, software and mobile solutions offer digital permit to work system software to control the risks, ensure worker safety, authorise the correct people to carry out specific work and significantly increase efficiencies.

What should Permit to Work Systems Include?

  • Conditions - the conditions under which work is allowed including environmental conditions.
  • Activities - the activities being carried out.
  • Tools - the tools required to complete the activities.
  • Controls - the controls already in place (for conditions, activities, and tools). Controls could be in the form of mandatory actions, additional signatures, a gas test, or compulsory PPE.
  • Risk Assessment - necessary risk assessment information
  • Authorisation - Any authorising signatures required.
  • PPE - Any relevant PPE or safety equipment required.
  • Documentation - All necessary additional documentation (mandatory or optional)
  • Test Results - Any gas tests etc.
  • Controlled time frame - for work to be completed
  • A requirement to close a permit - when work has been completed safely

This is not an exhaustive list, and it will very much depend on the type of activities being carried out, the type of site it is taking place on, and the competencies needed to do so.

Benefits of Digital Permit to Work Systems

By digitally controlling and mitigating risks through a control of work system, companies using digital permit to work systems can achieve the following:

  • Improved Safety
  • Cost Benefits
  • Enhanced Productivity
  • Links to Maintenance Management Systems for enhanced planning and preparation
  • Enhanced Communications
  • Quickly close the loop on corrective action
  • Identification of conflicting jobs
  • Improved Safety Culture

What are the Most Common Types of Safe System Work Permits?

Some of the most common types of permits we see in permit systems for high-risk activities which require strict controls are:

  • Hot work permit
  • Cold work permit
  • Electrical work permit
  • Confined space entry permit
  • Breaking containment permit
  • Working at Height permit
  • Working near/under Water permit
  • Roof work permit
  • Some other permits will be sub-divided, for example low voltage electrical, high voltage, shallow/deep excavations.

Again, this is by no means an exhaustive list and we would be happy to discuss your permit to work software requirements further.
